Privacy policy

Full Circle Health handles personal and health information every day, and we take that seriously. This page explains in plain language what we collect, why we collect it, who can see it and what you can ask us to do with it.

Who we are

Full Circle Health is a gut wellness clinic owned and operated by Michelle King and Andrew Law, with clinics at 354A Port Hacking Rd, Caringbah NSW 2229 and 370 Barrenjoey Rd, Newport NSW 2106. In this policy, we, us and our mean Full Circle Health.

Because we provide a health service and hold health information, we are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and by the Health Records and Information Privacy Act 2002 (NSW).

What we collect

When you contact us through this website

Our enquiry form asks for your name, email address, phone number, your preferred clinic and whatever you choose to write in the message box. We only collect what you type. If you write about a health concern in that box, we treat it as health information and protect it accordingly.

When you become a client

To treat you safely we collect and keep a client record. That typically includes your contact details, date of birth, relevant medical history, medications, the reason for your visit, notes made by your therapist, and a record of the treatments and packages you have had. We collect this directly from you, in your consultation and on your intake forms.

When you use this website

We measure how the site is used so we can improve it. This includes the pages viewed, the approximate source of the visit such as a search engine or our Google listing, the type of device, and whether buttons such as Book online were clicked. This measurement is not linked to your name and we do not use it to identify you. We use Google Analytics, GoatCounter and our own first-party measurement for this.

If your browser sends a Do Not Track signal, our own measurement records the visit without device or source details.

Why we collect it

  • To provide treatment safely and to decide, with you, what is appropriate
  • To make, confirm, change and remind you about appointments
  • To keep the clinical record we are required to keep
  • To take payment and to manage packages, concessions and gift vouchers
  • To answer your enquiry
  • To send you clinic information or offers, but only if you have opted in, and you can opt out at any time
  • To improve this website

Who we share it with

We do not sell your information, and we do not share it for anyone else's marketing.

We share it only where we need to in order to run the clinic, and only with providers who are bound to keep it secure:

  • Fresha, our booking and payment system, holds your appointment and payment details
  • Formspree delivers this website's enquiry form to our inbox
  • Cloudflare hosts and protects this website
  • Google Analytics and GoatCounter provide website measurement

Some of these providers store data on servers outside Australia. We will also disclose information where the law requires it, or where it is necessary to prevent a serious threat to someone's life, health or safety.

How we protect it

Clinical records are kept in an access-controlled system and are seen only by the therapists and staff who need them to do their job. This website is served over an encrypted connection, our administration areas are password protected, and the enquiry form is transmitted securely.

How long we keep it

Health records are kept for at least seven years from your last visit, as health record law requires. Where you were under 18 at your last visit, the record is kept until you turn 25. Website enquiries are kept only as long as we need them to deal with your enquiry.

Your rights

You can ask us to show you what we hold about you, and you can ask us to correct anything that is wrong or out of date. Just contact the clinic and we will help. We may need to verify who you are first. In rare cases we may not be able to give full access, for example where doing so would put someone's safety at risk, and if that happens we will explain why in writing.

You can unsubscribe from any marketing message at any time using the link in the message, or by telling us.

Cookies

This site uses a small amount of browser storage to remember where your visit came from during a single session, and our analytics providers may set their own cookies. You can block or clear cookies in your browser settings. The site works without them.

Making a complaint

If you think we have mishandled your information, please tell us first. Contact us using the details below and we will investigate and respond.

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992, or to the NSW Information and Privacy Commission at ipc.nsw.gov.au or on 1800 472 679.
